How to invite new, assign existing and remove users to your ANANAS location

An Ananas Admin can add staff to the specific locations they have administrative access to
Navigate to the location you wish to add staff

There are two main methods of adding staff to a location

  1. Invite Employees

Where a staff member is not currently part of your organisation, you can invite them by email

Job Title(s)

Select the roles the user will be carrying out. These titles are how training is allocated to the user, so be sure it is correct. Multiple roles can be selected where a user will be working across several sections

Employment Type

Select Full-Time, Part-Time or Casual. Fields are not compulsory but may be required when using ANANAS in conjunction with Payroll or Time and attendance integrations.

Employee Number

Unique employee ID. May be required when using ANANAS in conjunction with Payroll or Time and attendance integrations.

Venue Admin

Can invite & remove staff, create & assign training and see scores relating to this venue. Will be enrolled in training relevant to their Job Role(s) and contribute to venue scores

Organisation Admin
As above, across ALL venues. Plus, access to exportable reports, account settings, custom job roles.


2. Assign Employees

Where a user is already employed at another location in your organisation, you can negate entering their email/mobile by searching and Assigning them to additional locations.

Job Title
Select the roles the user will be carrying out AT THIS VENUE. Users can hold different titles at different venues. They may also have multiple titles at each venue. This is useful where, for example, a venue manager from one venue, helps out in a supporting role as a Bartender at another venue. They do not need to cover the manager training at the secondary venue but would need to review any bartender training.

Is Venue Admin?
Can invite & remove staff, create & assign training and see scores relating to this venue. Will be enrolled in training relevant to their Job Role(s) and contribute to venue scores

Is Organisation Admin?
As above across ALL venues. Plus: Organisation Managers are not shown in venue enrolments and will not affect venues scores

3. Re-invite users

Until a user accepts the invite, their status will show as Invite Pending. You can copy the invite URL to your clipboard and send using any 3rd part messaging service.

If staff are unable to locate their invite, recommend they check their SPAM folder AND check that their email and mobile number have been entered correctly in ANANAS.

Please note that invites expire after 31 days after which they must be Re-Invited from the app.

4. Remove users

1 . Navigate to the location that the user is assigned to 

2. Select the staff member and click the 'remove staff' icon. Removing staff will erase their internal training history, but NOT their ANANAS training scores. If a user is assigned to multiple venues, repeat as above other venues.
Once removed from all venues in an organisation, the user will be able to access ANANAS as a personal user, with no access to your organisation's training.

Using your payroll, rostering or internal contact lists; Export your staffs, email, first name, surname, mobile, venue name, job role and admin-level into this template.
